2024 BOOKING Terms & Conditions

  1. Booking requests are allocated on a first-in, first-served basis after the member priority period.
     
  2. If member booking requests submitted during the member priority booking period exceed availability of rooms for any week, particularly school holidays, a ballot conducted by the Chairman will allocate rooms.
     
  3. All bookings require payment of 50% of the total booking cost on confirmation of the booking. July 2024 school holiday bookings and summer bookings require 100% payment at the time of booking. 
     
  4. To apply for accommodation, please complete the Booking Form and include the relevant payment (50% or 100% of total booking cost). Send by email to the Booking Officer. Member booking requests will not be confirmed unless all annual subscriptions and deposit have been paid in full.
     
  5. For winter bookings, balance of payment must be received 2 months prior to arrival date. Failure to pay on time may result in your booking being cancelled and subject to a cancellation fee.
     
  6. Weekly rate includes queen, twin or family share accommodation, all meals except lunch on day of arrival and departure plus all linen. Breakfast on day of departure is a continental breakfast. Shorter stays may be available on request.
     
  7. All rates are per person and inclusive of GST.
     
  8. Child and youth rates applicable only if sharing with 2 adults otherwise surcharge may apply, depending on availability and time of booking. Guests who book as a child will be catered for with child-style meals. Portion sizes vary depending on age. 
     
  9. All accommodation based on twin share otherwise single supplement will apply. Allocation of rooms is at discretion of the Booking Officer. Room preferences will be considered but cannot be guaranteed.
     
  10. Cancellations, no shows and early departures:
    • If you notify us that you wish to cancel your booking, then certain cancellation fees will apply depending on when you notify us.

    • Cancelled bookings are subject to:

    • (a)  a cancellation fee of 50% of the total booking cost if cancelled more than 45 days prior to the arrival date; or
      (b)  a cancellation fee of 100% of the total booking cost if cancelled less than 45 days prior to the arrival date.

    • The cancellation fee is based on our experience of peak bookings requests occurring from December to February, our fixed costs of operating the lodge, and uncertainty in securing short notice reservations.  We will do our best to replace a cancelled booking with another reservation for the same room and week as cancelled. If we are successful in securing a replacement booking, we will refund the cancellation fee up to a maximum of the total replacement booking cost received.

    • There is no refund, discount or credit available should any person arrive after their arrival date, leave before their departure date, or fail to show up.

    • Please note that we do not provide and are not responsible for the provision of transport, equipment, lift passes or ski lessons.

    • Travel insurance for your accommodation (and any third-party services) is strongly recommended.

  11. All members and guests staying at the lodge are required to comply with our health and safety directions as well as the policies and procedures of Charlotte Pass Snow Resort. Our health and safety requirements are subject to change and could override these terms and conditions (for example, in order to respond to particular COVID-19 public orders or announcements). It is possible that members or guests may be prohibited from attending the lodge or may be required to leave the lodge prior to their scheduled departure date for health and safety reasons.  Travel insurance is strongly recommended.
     
  12. A member is entitled to members’ rates for themselves, one adult guest and the number of dependent children (21 years or younger) contemplated by their membership. To obtain members’ rates the member must accompany their guest and children.
     
  13. The term child means those 4-12 years of age as at 1st June.
    The term youth means those 13-17 years of age as at 1st June.
    The term adult means those 18 years of age and older as at 1st June.

    The term toddler and baby, means those 3 years of age and under and must occupy a cot or fold-away bed.
     
  14. Special dietary requests can be considered. We will do our best to accommodate special dietary needs, however given the remote location of our Lodge, dependence on suppliers and difficulty to access supplies, a surcharge may apply. Please notify the Booking Officer at the time of booking of ANY and ALL dietary requirements. Due to our geographic isolation and limited access to suppliers, special dietary requirements cannot be catered for if Lodge Managers are notified on arrival or during your stay. By booking with you are confirming you have read and understand this policy. 
     
  15. If you are delayed or intend to arrive late on your day of arrival, please inform the Lodge Managers on (02 6457 5378).
     
  16. SMOKING IS STRICTLY PROHIBITED IN ALL AREAS OF THE LODGE.
     
  17. The Board reserves the right to accept or reject any booking request.
